This Privacy Policy explains how BookAI (“BookAI,” “we,” “us”) collects, uses, and protects information when you visit bookai.now, use the BookAI booking platform and back office, or receive messages from us, including SMS text messages.
Information we collect
- Contact details you provide, such as your name, email address, organization, and mobile phone number.
- Booking information, such as group size, dates, requested offerings, quotes, offers, orders, and invoices.
- Conversation content exchanged with the BookAI booking agent and back office assistant, kept so venues can review and audit their bookings.
- Payment information, which is processed by our payment provider, Stripe. We do not store full card numbers.
- Technical information, such as browser type and basic usage logs needed to operate and secure the service.
How we use information
- To provide the service: qualifying requests, preparing quotes, negotiating within venue rules, confirming bookings, and collecting deposits.
- To send operational messages by email, WhatsApp, or SMS, such as approval requests and booking updates.
- To respond to inquiries and early access requests.
- To maintain, secure, and improve the service, and to comply with legal obligations.
SMS messaging
BookAI sends SMS text messages to users who have opted in by providing their mobile number and consenting to receive texts from BookAI — for example, a venue team member who adds their number to receive booking approval requests. Messages relate to bookings on the BookAI platform, such as approval requests for offers that fall outside a venue’s rules, booking confirmations, and booking updates.
- Message frequency varies based on booking activity.
- Message and data rates may apply depending on your mobile carrier and plan.
- Opt out at any time by replying STOP. You will receive one final message confirming you have been unsubscribed, and no further messages will be sent.

- Carriers are not liable for delayed or undelivered messages.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Mobile numbers are not shared with third parties for marketing. Text messaging originator opt-in data and consent will not be shared with any third parties, except with service providers (such as our SMS delivery provider) solely to deliver messages on our behalf.
How we share information
We do not sell personal information. We share information only as needed to operate the service:
- With the venue or planner that is party to your booking, so the booking can be fulfilled.
- With service providers that process data on our behalf, such as hosting, payment processing (Stripe), and message delivery (email, WhatsApp, and SMS providers), under obligations to protect it.
- When required by law, or to protect the rights, safety, and security of BookAI, our users, or others.
All of the above excludes SMS opt-in data and consent, which is never shared with third parties for their own purposes.
Data retention
We keep information for as long as needed to provide the service, keep booking and conversation records for the venues we serve, and meet legal, tax, and accounting obligations. We then delete or anonymize it.
Security
We use reasonable technical and organizational measures to protect information, including encryption in transit and restricted access. No system is perfectly secure, but we work to protect your data.
Your choices and rights
You may request access to, correction of, or deletion of your personal information by emailing echeyde@bookai.now. You can opt out of SMS at any time by replying STOP, and out of marketing emails using the unsubscribe link in any such email. Depending on where you live, you may have additional rights under applicable law.
Children
The service is intended for businesses and adult group organizers. We do not knowingly collect personal information from children under 13.
Changes to this policy
We may update this policy from time to time. We will post the updated version on this page and change the “Last updated” date above.
